What personal data we collect and why we collect it

We don’t collect any personal or identifiable information from you simply by virtue of you browsing this website.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Contact forms

If you upload any personal or identifying information using our contact form, including any sample text files you choose to send, these will be sent via email to an internal enquiries mailbox accessible only to Yabe Translation. This information will only be used for the following purposes:

  • to contact you regarding a quote for translations services;
  • to follow up with you regarding any quotes issued but not responded to; and
  • in the case of any sample texts provided, to ascertain whether the project is feasible and to assist with providing you a quote.

We will retain these details for no longer than either 30 days after receipt and acknowledgement, or 30 days after the end of any engagement which results from these emails; whichever is longer. After this time the emails and with them any information and sample texts they include will be irrevocably deleted.

However, if the email contact results in a billable engagement, we will retain details of the billable entity and their address, plus any other relevant information (e.g. VAT numbers, if necessary) for a period of no greater than six years after the end of the financial year the engagement concluded in as part of our standard billing and tax records. After this the data will be deleted.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

We will not share your data with any parties outside of Yabe Translation and its employees, however copies of any data we retain may be securely stored with our cloud backup provider.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Where we send your data

We may keep data sent to us and stored in the normal course of business in a cloud-based backup service. This service is hosted in a jurisdiction which has equivalent data protection standards to the European Union and complies with GDPR.

Emails you send us and their contents will be stored (subject to other provisos regarding data retention periods) with our web hosting provider, which is based in the European Union.

How we protect your data

Any data supplied to us by you in connection with any quotation, enquiry or engagement will be held securely on systems (both local and also including cloud-based backups as per above) only accessible to Yabe Translation and its employees.

Yabe Translation holds minimal personal information regarding its clients, generally limited to name, address, email address and contact telephone number. We may also retain any documents that are supplied to us for 30 days after the end of any engagement with or request for quotation from ourselves, after which these will be deleted.

What data breach procedures we have in place

In the event of any identified breach of data security relating to personal data held by ourselves we will notify the appropriate authorities (including but not limited to the Information Commissioner’s Office) without delay.

What third parties we receive data from

We do not presently receive or seek any personal information from third parties.

We do not presently perform any automated decision making and/or profiling with any user data.
